Built for multi-discipline clubs
Members, classes, grading and payments in one place — BJJ, judo, karate, taekwondo, striking and more, each on its own ladder. Easy to switch to, and priced so it won't eat into your takings.
The admin gap
Before
Attendance in one app, payments in another, gradings in a notebook that lives in your car.
Every discipline you add is another spreadsheet nobody else can read.
You find out someone stopped coming when their card declines, six weeks late.
After
One roll call. Attendance, belts and billing all move together.
Add judo on Tuesday. It has its own ladder by Tuesday night.
The people drifting away are on your dashboard before they quit.
Everyone's grade history is one list, not a coach's memory.
ClubEasy doesn't make admin faster. It takes it off you.
Why ClubEasy
Most gym software assumes one art, one ladder, one way of grading. Real clubs outgrew that years ago.
BJJ belts, judo kyu/dan grades, karate kyu, taekwondo geup and poom — each discipline grades on its own progression, in the same gym, at the same time. Attendance-only classes just don't grade.
Start from a federation template, then drag the ranks into the order your association actually uses. Set time in grade, minimum age and syllabus per rank. No two clubs grade identically and the software shouldn't pretend otherwise.
A student who trains BJJ and striking builds mat time in both. Their striking sessions never inflate their BJJ grading stats — and open mat never counts toward either.
One ladder per art, with a minimum or maximum age on the ranks that need one. That is how an IBJJF blue belt starts at 16 and a taekwondo poom converts to dan at 15 — there is no separate kids system to keep in step, and members cross over by birth year rather than when someone remembers.
Pick the art, set the class type, choose a start and finish time, publish. Members filter the calendar to the art they actually train.
Memberships, family plans, failed-payment retries and a shop, in your currency, through your own payment processor. Nothing routes through us.

Grading
The part every other gym platform gets wrong, because they built for one art and bolted the rest on.
The BJJ ladder follows the IBJJF Graduation System, including age brackets and time in grade. Judo, karate and taekwondo ship as researched starting points you're expected to adjust to your association.
Set the gates that matter — time in grade, sessions, a syllabus assessment, an instructor sign-off, competition results — and see who's genuinely ready before you announce a grading date.
Build the candidate list, confirm belts and stripes, print the sheets, then promote everyone in one pass. Certificates and belt history update themselves.
Readiness and grading day run on the BJJ ladder today. Every other art can build its ladder, set its syllabus and record promotions now — grading-day tooling for judo, karate and taekwondo is next.

Member app
Every member gets their own login — belt progress, training history, class booking and check-in, all on their phone. They answer their own questions instead of asking you, so you stop being the front desk. No app store, no downloads.
They track their own belt
Members see their promotion gates against their real training data — so you're not fielding "am I ready?" every week.
They book their own classes
Booking, waitlists and QR check-in from their phone. No sign-in sheet, no one manning the desk.
Drop-ins pay you automatically
Anyone on ClubEasy can drop into your gym — scan the QR, sign the waiver, pay the fee. The class lands on their record, the revenue lands on yours.
Fewer cancellations to chase
Members who can see their streak, their heatmap and their next belt have a reason to keep paying.
Everything else
Stripe billing
Recurring memberships, failed payment retries, promo codes, manual payments, and tax invoices — automated.

Three AI tools for BJJ gym management — using your gym's own data to surface insights you'd otherwise spend hours digging for.
Promotion advisor
ClubEasy tracks days-in-rank, session count, skill assessments, competition history, and instructor sign-offs for every student. The AI surfaces a ranked readiness list and flags exactly what each near-ready student is missing.
Class planner
Knows what techniques are overdue (freshness), what your attending members are weakest at (gaps), and balances the two to suggest a class plan. Includes warm-up, drilling, and sparring structure. Tweak or accept as-is.
Re-engagement
The churn dashboard flags members who've gone quiet. For each one, the AI drafts three messages in different tones — warm check-in, motivational nudge, or direct offer — referencing their belt, attendance streak, and promotion proximity. One tap to send via email or SMS.
AI re-engagement is included from Pro. The full AI coaching suite — promotion advisor and class planner — is on Elite and Ultimate. · 14-day free trial, no credit card required.

FAQ
No. One gym, one subscription, as many disciplines as your plan allows. Each art gets its own programs, classes and grading ladder inside the same account, and members can train across all of them.
Yes, and you're meant to. Templates are a starting point. You can rename ranks, reorder them by drag and drop, add or remove them, and set your own time-in-grade, minimum age and syllabus for each one.
Leave the program unlinked from any ladder. Striking, wrestling, conditioning, yoga and open mat all run as attendance-only: registers, bookings and reminders work exactly the same, there's just no belt attached.
No. You connect your own Stripe, Square, GoCardless or Pin Payments account and your members' money goes straight to you. We charge a flat monthly subscription for the software and nothing else.
Import members from a CSV, belts and all. If a belt name isn't recognised the row is reported rather than silently reset, so nobody lands on white by accident.
The member portal runs in English, Spanish, Portuguese, Arabic and Russian, including right-to-left layout for Arabic. Members pick their own — it doesn't have to match the gym's.
14-day free trial. No credit card. Cancel any time. Most gyms are fully set up in under an hour.
